PRIMARY RESPONSIBILITIES
In conjunction with the business plan and strategy set by the Minerals Business Managers, to ensure that administration functions enhance operation with successful performance. 
  • Supervise and Lead the Minerals Administration Team to achieve business objective, covering all operating sectors:
  1. Trade Services
  2. Coal Laboratory
  3. Coal Upstream
  4. Geochem Laboratory
  • Supervise and monitor all the operational management of the Order to Cash and Purchasing system including:-
  1. Quotations
  2. Order confirmation
  3. Invoicing
  4. Collection
  5. Purchasing
  6. Inventory
  7. Import & customs clearance
  8. Freight Contacts
  9. Others (office maintenance, cleaning service, security, stationary, florist, pest control, etc.)
  • Maintain strong working relationships between Office, Field and Laboratory staff to ensure efficiency in operations.
  • Prepare and issue all regular, non regular reports and all associated documents in relate to the opportunities, progress, and achievement of the Minerals business as a whole.
  • Planning, organizing and coordinating all the affiliate travel arrangement and all marketing events for Minerals Business
  • Assist management with preparation and presentation for large tenders.
  • Custodian of the Minerals Quality System sharepoint site, and internal auditing functions to assist the QHSE representative.

SPECIFIC RESPONSIBILITIES
  • Ensure of all daily operational functions according to the Quality Plan
  • Ensure efficiency of all administration functions
  • Co-ordinate all activities to ensure all financial processing is conducted in an accurate and timely manner to meet the requirements of SGS Management and Customers
  • Supervise and monitor administration staffs performance and problem solving where required
  • Lead, coach and develop a business oriented administration team
  • Ensure reports are delivered to customers within the specific times
  • Provide customer service and assistance to internal and external customers to meet their requirements and resolve queries
  • Prepare and monitor invoice issuance to the client after job completion
  • Promote the image, capability and integrity of the company to the clients
  • Operate to the highest standards of ethics, in accordance with the SGS Statement of Integrity
  • Customer focused at all times, and achieve efficiency in service
  • Resolution of any customer complaints, in conjunction with management
 
PROFILE
  • University level qualification in relevance discipline (faculty of economy, accounting or management)
  • High level written and spoken English
  • High level written and oral communication skills
  • Demonstrated ability to participate and excel as a Assistant Manager and Team Member
  • High level Time Management skills, demonstrating organization and efficiency
  • High level computer skills – Ms. Office, business software and SLIMS system
  • Experience with Shipping Terms and Port or Logistic operations
  • Experience in Administration function within a multi-national company, min. 3 years experiences

  • Understanding of shipping terms and ports / logistics operations
  • High level computer literacy, including Word, Excel, email, www, LIMS, etc.
  • Applies judgment and acts according to the SGS standards of ethics and integrity
