Job Summary:
  • Responsible for all activities in the bell service during the shift.
Duties & Responsibilities:
  • Bell Captain and Bell person and Door Person should attend daily briefing conducted by the Chief Concierge / Assistant- Chief Concierge / Concierge shift leader at the beginning of each shift
  • Upon hand over with another shift, all cases should be properly handed over and recorded on the log book.
  • Bell Captain should ensure observing bell person and door person to greet all arriving and departing guests with a smile and eye-contact.
  • Bell Captain should supervise bell person to deliver and collect baggage for arriving and departing guests and groups.
  • Bell Captain should be responsible for collecting all guest needs and preferences to anticipate the guest’s need in their future stay with us.
  • Bell Captain should give guest an introduction to the facilities in the guest room, i.e. air-conditioning control, light switches, Safety box, TV, telephone, wardrobe, etc. when rooming the guest if possible.
  • Bell Captain should check the recorder of delivering mail, faxes, messages, packages, parcel etc. promptly to the guest room.
  • Bell Captain should check details of the record of all incoming items to concierge desk and make sure the items are properly stored or delivered.
  • Bell Captain should ensure to check all internal items delivery and the signature of the receiver is on the designated form.
  • Bell Captain should monitor the working status of pager person to ensure the requested newspapers sent to the guest rooms.
  • Bell Captain should monitor bell person to provide escorting service in assigned position by the guest
  • Bell Captain should assign bell person to run errands for guests when requested
  • If guest requests paging service in the lobby, Bell Captain should assign bell person to page guests in public area with page board
  • Bell Captain should take the initiative to give careful attention and assistance to disabled guests, then monitor bell person of how they handle the physical challenged guest.
  • Bell Captain should be neatly groomed at all times and ensure the grooming of bell person, door person such as cleanliness of gloves and polishing status of their shoes.
  • Bell Captain should be responsible for the maintenance of the luggage room. The luggage tag of any luggage in the storage room should be clear enough to identify. The luggage record in the storage room should be carefully checked daily.
  • Bell Captain should have thorough knowledge of all hotel facilities and hours of operation, to be able to respond to guests’ questions correctly. Bell person is responsible of checking if bell and door person fully understand.
  • Bell Captain should answer the telephone promptly and courteously by following The Westin standard
  • Bell Captain should monitor bell person to take care hotel properties such as trolley, elevator door and wall paper etc to maintain operating equipment in good working status.
  • Bell Captain should monitor the bell person and door person to keep any area of the hotel neat and tidy at all times.
  • Bell shift leader should assist bell person to identify VIPs, regular and long staying guests and build rapport to offer personalized service and assistance by using guest name if known.
  • Bell Captain should cultivate good working relationships with inter-related departments.
  • Bell Captain should undertake assignments delegated by assistant Chief Concierge or Chief Concierge.
  • Bell Captain should monitor bell person to satisfy guest needs and reasonable requests.
  • Bell Captain should seek opportunities to continually improve guest service.
  • Bell Captain should monitor bell person to raise and lower the flags daily according to different seasons.
  • Bell Captain  should abide by the hotel service system
  • Bell Captain should assist door person to control traffic and parking of vehicles at the main entrance if necessary.
  • Bell Captain should escort guests and visitors to areas in and around the Hotel if necessary
  • Bell Captain should assist in keeping all public area in a clean and professional appearance, assuring ashtrays and other work areas are clean.
  • Bell Captain should attend all training sessions that are requested by the hotel’s management
  • Bell Captain should monitor bell person not to solicit tips from guests. Bell Captain is not allowed to assign profitable job to bell person because of personal relationship
  • Bell Captain should summarize the frequent happened mistakes on a monthly basis and schedule training to give bell or door person training.
  • Bell Captain should closely monitor and properly arrange the meal and rest time of bell and door person to ensure enough manning working.
  • Bell Captain should demonstrate how to handling job task and lead by example.
  • Bell Captain should find out the improper or inefficient procedure during the daily operation. Then bell shift leader should discuss these points with Chief Concierge to make improvement.
  • Bell Captain should conduct bi-yearly evaluation to the bell person and door person.
  • Bell Captain should take the initiative to join in concierge activity.
  • Bell Captain should have one on one communication with each bell person and door person each 2 weeks and follow up their reasonable requirement if applicable.
  • Bell Captain should communicate with Chief Concierge frequent to find out more efficient way to delivery guest’s luggage or items.
  • Bell Captain should check the luggage room in details daily, such as location of luggage, rope or net for the luggage, the quality of recording on the luggage tag by the bell person to ensure the guest’s luggage is easily accessible.
  • Bell Captain should ensure there are enough operation supplies available at all times and purchase operation supplies when amount is not enough, such as frequently used forms, luggage tags etc.
  • Bell Captain should always closely monitor the service quality of bell person & door person and discuss with Chief Concierge how to improve.
Job Knowledge / Skill:
  • Good knowledge of Hotel surrounding area
  • Basic knowledge of hotel & front office
  • Good English language skill and communication skill

Education:
  • University degree in hospitality or related subjects preferred 
Experience:
