PRIMARY RESPONSIBILITIES
Deliver any service to customer (in term training administration issue) related to training business with also comply with SGS Code of Ethics and ensure our customer satisfaction
 
SPECIFIC RESPONSIBILITIES
Schedule Arrangement & Preparation of Training material
  1. Received contract from sales team and register in the Log Monitoring for training
  2. Review the contract and feedback to client in timely manner
  3. Arrange training schedule and allocate trainer based on their capability as required in the contract received either for in-house or public training
  4. Make preparation related with training material either for public or in-house in timely manner including delivery to the client or training venue.
  5. Make preparation for training kits required for in-house training by referring to contract
  6. Make a necessary travel arrangement for in-house training (if required) by coordinating with client based on contract
  7. Arrange schedule confirmation & information on travel arrangement to client (in-house training) and send TRF to the trainer
 
Certificate Issuance
  1. Received training pack from trainer and make preparation on certificate issuance
  2. Record numbering of certificate based on Log at certificate monitoring
  3. Check payment status from Invoice team file
  4. Deliver to participant by SGS Courier service
  5. Filling scan certificate and record usage of certificate paper
     
Filling and reporting
  1. Update Log Monitoring for training
  2. Maintain contract received from Commercial team in server
  3. Maintain & update trainer’s replace day
  4. Scanning all attendance sheet and keep in server
  5. Collecting, scanning and maintain and summaries training feedback from participants
  6. Calculate utilization for trainer
  7. Prepare specific report requesting by Operation Manager or related Manager
     
PROFILE
  • Minimum D3 graduates
  • Three years working experience, two of which as administration or secretary for a senior executive
  • Customer focused individual with lots of initiative.
  • Must be able to work independently without immediate instructions or direct and constant supervision.
  • Self starter, independent worker.
  • Able to handle confidential information.
  • Open minded to continuous improvement. Willing to contribute with ideas and recommendations.
  • Team player.
  • Able and willing to expedite issues with other staffs from other departments including technical staff, finance also other managers in SGS when it is felt that inaction could result in reduced satisfaction of customers (internal and external)
     
REQUIRED SKILLS
  • Fluent Bahasa Indonesia and English (verbal, written and comprehension)
  • Additional training courses in customer service
  • Has adequate knowledge and understanding on PT SGS Indonesia’s procedure
  • Has a good skill in analyzing data for supporting the business
  • Has a good knowledge and understanding Spreadsheet software (Lotus, Excel, or equivalent)
  • Has a good knowledge and understanding other Microsoft software such as Microsoft office
